The Governor’s Monthly Letter

Communication in the district is essential to the success of your service programs and district administration. The key element is your monthly letter. You are responsible for 12 monthly letters, July through June. These must be distributed to club presidents and secretaries and must include a Membership-Attendance Report.

Governors often name an editor to produce their newsletter and assign sections to be written by appropriate individuals within the district. This approach can work well provided that the letter reflects your districts activities and goals. As governor, you should always give final approval to content and style.

Monthly Letter Basics

Call attention to the opportunities for service in the coming months and urge club leaders to carry out their duties and meet the challenge of service.

Committees

Stress the importance of strong, active, working committees and appropriate assignments for each club member. Urge presidents to distribute the committee information included in the Club Committee Manual (as part of the Club Officers Kit) and to confirm each committees objectives for the year.

Finances

Remind clubs of the importance of operating on a budget. In order to provide sufficient operational funds, admission fees and dues should be adequate to cover budgeted items. The president should receive an approved audit of the books.

Semiannual Report of Membership and Per Capita Dues

Urge prompt transmission of these reports and payment of per capita dues to RI, with a copy of the semiannual report worksheet to the district governor.

Attendance Reports

Since attendance reports for June were sent to the past governor, obtain a copy of the district report for inclusion in your letter. You should receive July attendance reports before 15 August. Inform club secretaries that you will expect to receive their reports before the 15th of each month to enable you to prepare the attendance report for your monthly letter.

- Provide a cordial message of welcome to any newly organized clubs and urge Rotarians in the district to visit them.

- Remind clubs of the importance of proper education of new members. Refer them to the publications Getting Started in Rotary (333) for the sponsor and the new member and Strategies for Member Education (Web only).

- Urge club secretaries to use the Busines Portal of RI’s Web site at www.rotary.org to add new members, terminate members, and update membership information in the RI database as they occur — not just with their semiannual reports — to permit better service to Rotarians.

- A complete attendance report is required in every monthly letter. The report should clearly indicate the month that it covers as well as the total number of clubs and Rotarians in the district. Effective leaders are able to turn this information into a challenge that can motivate every club to do its best.

Publications

Throughout the year, you will want to enclose with your monthly letters the monthly Membership-Attendance Report (see appendix 3 of this chapter for a sample). Providing this basic information each month can help you supervise the district. Presentation of gain and loss statistics and attendance rank can help Rotary grow by pointing out to clubs how they stand in relation to one another. List district totals at the bottom to show whether or not the district as a whole is improving. If attendance has declined for a consecutive number of months, find out why. If attendance has increased, what is attributed to the change?
